Position Summary
The Operations Specialist plays a critical role in supporting the efficiency and accuracy of our operational workflows. This position is responsible for ensuring smooth execution of automated processes, high-quality sales order entry, and timely closeout and invoicing of direct ships. The ideal candidate brings strong technical capability, attention to detail, and a commitment to excellence while supporting a wide range of operational functions that help drive a seamless customer and vendor experience.
Essential Duties and Responsibilities
Provide comprehensive support for automated order processing, ensuring accuracy, timeliness, and alignment with established procedures.
Enter and manage customer sales orders with precision, maintaining data integrity and meeting organizational performance standards.
Communicate professionally and proactively with internal teams, customers, and external vendors through email and other communication platforms.
Prepare, update, and distribute weekly operational reports to ensure visibility into order activity and performance metrics.
Manage direct ship workflows, including order maintenance, closeouts, and invoicing, to ensure accurate and timely billing.
Troubleshoot and resolve process-related issues that arise, escalating when appropriate to maintain workflow continuity.
Support additional operational tasks and special projects as needed to meet evolving business demands.

Qualifications
Experience working with NetSuite or a similar ERP system, including comfort navigating order management and data workflows.
Strong proficiency with Microsoft Office programs (Word, Excel, PowerPoint)
A consistent track record of emotional intelligence, sound judgment, and professionalism in daily interactions.
Previous experience in an operations, administrative, or order management setting preferred but not required.
